Privacy Policy

The Southwick Society WILL

1  Collect and maintain only the minimum personal data from members of the Society to enable it to maintain contact with members according to their stated preferences, to maintain records of members subscriptions, to claim gift aid, to manage volunteering activities and to comply with legal requirements.
2  Delete or amend member information at the request of the member concerned or upon membership ceasing.  NB the Society may need to retain gift aid declarations to comply with HMRC requirements.
3  Allow members to check the information held about them.
4. Give members opportunities to express and amend their preferences in relation to the Society contacting them.
5.  Keep members data as secure as practicable.
6.  Take appropriate action in the event of a data breach.
7.  Allow access to members data only to those Southwick Society trustees or other members who need them for a specific purpose for managing the society, for example, delivering or sending newsletters or reminders, maintaining subscription records, making gift aid claims or arranging and managing volunteering activities at the Manor Cottage or the Society generally.  Access will be restricted to the minimum data needed for the purpose.
8.  Comply with relevant legislation.
9.  Review this policy and related procedures from time to time as necessary.

The Society WILL NOT

10.  Sell personal data to any organisation or individual.
11.  Share personal data with any organisation other than to comply with a legal requirement such as the identification of charity trustee to the Charity Commission.
